This typically requires considering details such as travel routes, lodging, and activities during the early stages of trip planning. Some of these activities are designed to help attendees break free from their routine and transform the meeting into an experience.

Many destinations have already established network of products and services providers to enhance tourism. Although these experiences are meant to break attendees out of their business routine, it is important to account for the time they will need to rest, especially if the event is hosted at a considerable distance that may cause jet lag. Don't forget to consider time differences and other demographic data that can help you determine their potential interests and organize the activity schedule accordingly. - Cultural differences
There is always a possibility that some cultural differences between your client’s country of origin and the destination where they want to organize the event lead to misunderstanding. Make sure to familiarize yourself with these differences and communicate to your client what they need to know. It could be something as simple as the need to use an adapter for their charger or something more complex, such as etiquette rules in business that could save them from an uncomfortable situation. - Budget
This element is fundamental for any event because it's the one thing that limits the number of people who can attend based on the type of incentive your client has in mind. Make sure to organize these aspects properly and set a contingency fund for unforeseen situations.
